This position will begin on July 31, 2024, with fall training beginning August 1, 2024, employment will end on May 8th, 2025. Desk Managers are not guaranteed employment outside of this period but may be offered the chance to continue in the position based on satisfactory performance. DMs are expected to be available to work during break periods, if necessary. DMs are expected to be here present and fully available for all training and opening and closing of fall and spring semesters. The DM position is posted for 20 hours per week. Per NKU's Employment Policy, U.S. Citizen students are permitted to work 25 hours per week. International students are capped at 20 hours per week therefore they cannot work additional jobs when employed as a DM. DMs are expected to work everyday, Monday - Friday at some capacity, in the housing office throughout business hours. The DMs will have a specific work area to supervise which is either mail/package area, hiring/interview/training area, and scheduling/office staff area.
Job Description
A Desk Manager (DM) is a student staff member of University Housing and essential member of the NKU residential community. Desk Managers (DMs) are student staff who supervise Desk Assistants (DAs) and serve as next-level customer service representatives.

The Desk Manager is responsible for leadership and supervision of the Residence Hall, Front Desk and Mail Rooms. Their responsibilities include, but are not limited to, managing the DA's schedule, training DAs, and assisting with regular desk responsibilities (check-ins, lockouts, emergency maintenance, and answering questions about University Housing or NKU in general).

They also serve in an on-call rotation for after-hours desk needs. The Desk Manager is also responsible for providing administrative support to the Graduate Assistant of Desk Services and Residential Services Coordinator. This person should be able to demonstrate effective skills in communication, leadership, administration, and must understand and be sensitive to the needs of others.

The Desk Managers are responsible for all Desk Assistant duties specific to the DM role. The Desk Manager is supervised by the Graduate Assistant of Desk Services. This position is available during the academic year and summer.

Primary Responsibilities
Responsibilities

  • Serve in an on-call capacity for after-hours unexpected desk staff shortages and scheduling issues, key and access control concerns, Desk Assistant questions, and any other emergent situation, being prepared to work on short notice and/or take direction from Housing professional staff, including responsibilities outside the day-to-day purview of the Desk Manager position.
  • DMs are responsible for completing key audits for their buildings, when there isn't a DA scheduled during those shifts when key audits are due.
  • Assist with Residential halls opening & closing as instructed
  • Attend and/or lead weekly staff meetings with DAs, other DMs and other housing staff
  • Train the Desk Assistant staff in desk operations, customer services, key management, and all other competency areas.
  • Monitor DA student staff
  • Schedule 1:1 time with all assigned DA staff member each semester
  • Conduct DA Evaluations as needed and/or as directed by the Graduate Assistant of Desk Services, at least once a semester.
  • Decorate residential desks for all NKU related events
  • Work cooperatively with all NKU and University Housing staff members, including Resident Assistants, Resident Life Coordinators/Hall Directors and other Desk Managers.
  • Meet biweekly with Residence Hall Directors
  • Appropriately communicate concerns and happenings to DAs, DMs, and/or Graduate Assistant of Desk Services as appropriate.
  • Monitor safety and security of lobbies/desk areas, student/guest behavior, and be attentive to the environment, including greeting guests and individuals near the desks.
  • Address desk phone calls & caller needs, transferring calls as needed, taking messages as needed, and utilizing phone systems professionally while courteously assisting callers.
  • Be familiar with and assist in implementing all policies found within the NKU Housing Contract and Code of Student Rights and Responsibilities.
  • Be familiar with and assist in the implementation of all emergency procedures. Contact the Professional Staff member On-Call if necessary, regarding immediate problems and emergencies. This can include, but is not limited to, medical emergencies, unauthorized entry, severe maintenance problems (power outage, flooding, severe cold/heat, etc.) fires, fire alarms, and fire drills, severe weather (hurricanes, tornadoes, etc.)
  • As a condition of your Desk Manager role and agreement, University Housing can change the Desk Manager position description and role to meet the ongoing needs of our residential student population and departmental goals.


Qualifications
All Desk Managers must:

    • Must be in good standing as defined by the University. Have a minimum cumulative and semester grade point average of 2.5 at the time of applications submission and maintain a minimum cumulative and semester GPA of 2.5 during the period of employment.
    • May not exceed 20 (international) or 25 (domestic) hours of work per week depending on status including other on-campus employment (DM position is an average of 20 hours per week).
    • Reappointment is based upon academic standing, job performance, evaluation, continued enrollment at the University and good conduct standing with the office of Student Conduct Rights and Advocacy (SCRA).
    • Live within a designated room in an NKU residential community
      o Housing reserves the right to change a DM's room assignment at any time due to housing needs.
      o Must vacate designated NKU room within 48 hours (about 2 days) should staff member be separated from position.
    • Be available to work at nights and on weekends.
    • Adhere to all policies found within the NKU Housing Contract and Community Standards & Student Rights (the Code)
